1.GENERAL ORGANIZATION : IMAGINA 2007 will be held at the Grimaldi Forum in Monaco, on 31th January, 1st and 2rd february 2007. This event is organized by MONACO MEDIAX, 4 boulevard du Jardin Exotique, Monte-Carlo, 98000 Monaco. This exhibition is open to all professionals and registered participants.

2. ADMISSION : Any company (university, manufacturer, corporation, research center, ...) whose activities are wholly or partly devoted to collecting, analyzing and processing digital image, 3D animation, SFX, post-production, video games, mobile objects, simulation, visualisation, achitecture, design, digital cinema, broadband. New exhibitors are requested to send MONACO MEDIAX a full description of products and services to be displayed at their booth.

3. REGISTRATION/ PAYMENT : Applications will be taken into consideration within the limits of the available exhibition spaces. MONACO MEDIAX only will decide the booth allocation. The booth reservation contract is to be duly completed and sent to MONACO MEDIAX together with a deposit of 50% of the total amount incl. VAT. The remaining 50% balance is to be paid before 05 January 2007. Contracts received without payment will be considered null and void or guide listing will not be processed. On receipt of the reservation contract, and the requested deposit, confirmation of the booth location will be sent together with the invoice outlining the deposit paid and the balance due.Should the organizers be unable to accept an exhibitor's participation, notification will be made in writing and the full sum already paid will be refunded by MONACO MEDIAX. Any application implies acceptance of the present regulations.

4. EXHIBITOR’S RIGHTS AND DUTIES : Failure by the exhibitor to make full payment will result in the cancellation of the right to exhibit. In this case the exhibitor will not be entitled to have the deposit reimbursed nor will be entitled to any compensations. Any cancellation of a reservation on behalf of an exhibitor must be addressed in writing to MONACO MEDIAX by registered letter and is subject to the following conditions:
a) Deposit will be retained by MONACO MEDIAX in compensation.
b) In case of cancellation of any application less than 60 days before the opening of the exhibition, the exhibitor must pay MONACO MEDIAX all sums due.
c) Exhibitors are not allowed to display goods or products other than those mentioned on the application form and in particular goods manufactured or distributed by companies not taking part.
d) Concerning the free accreditations: if you want to cancel or substitute one of the member of your company , please inform Monaco Mediax/ Imagina in writing a letter as soon as possible.
"e) Furniture on booth : Furniture fee is 210€ VAT excluded ( insurance included) for a 6m2 booth and 310€ VAT excluded (insurance included) for a 9m2.
Any order inferior than the furniture fee allowed will not be refund by Monaco Médiax.
Any further order higher than the furniture fee allowed will be at the client expense.
The order will be placed by the exhibitor latest by the 15th december 2006 subject to the availibility of the supplier. .
Monaco Mediax will in no case be liable for any possible stock shortage from the supplier of the furniture( or equipment)."

5. RIGHTS AND DUTIES OF MONACO MEDIAX : Wherever possible, the booth allocation will take into consideration the exhibitor's wishes. In case of similar requests, date of receipt of the reservation contract with its payment will prevail. However, MONACO MEDIAX reserves the right to move or change the booth location when necessary without the exhibitor being able to request any kind of reimbursement or compensation.

6. INSTALLATION / REMOVALS : Fully furnished booths will be made available to the exhibitors 24 hours before the opening of the show. Unfurnished booths will be made available to stand decorators 48 hours before the opening of the show. .Regarding dates ans hours for the set-up, you will receive all details later. Exhibitors agree to fully remove all exhibit material from their booths on February 2, 2006 from 4:00 pm onward and within 8 hours after the exhibition closes

7. STAND OCCUPANCY : Any specific decoration or fittings shall be subject to the prior agreement of MONACO MEDIAX, at least 20 days before the opening of the exhibition. Any sound or music demonstration inside the exhibition hall must receive prior written agreement from MONACO MEDIAX.

8. CRATE STORAGE : For security reasons the Grimaldi Forum is not allowed to stock empty boxes or any kind of packages on behalf of exhibitors during the event length. It is also prohibited to stock any empty boxes or any kind of packages on the Trade Floor during the event. For these reasons exhibitors must take appropriate measure with certified courier companies listed in the exhibitor manual in order to remove, stock and get boxes/packages delivered back at the end of the event. Fees related to this operation will be at exhibitors expense.

9. INSURANCE, CUSTOMS AND MATERIAL HANDLING : The exhibitor or the hosted company will, at his own expense, procure and maintain in force during the period of the installation, exhibition, dismantling and use of the exhibition space an insurance covering himself, his staff and third parties, his equipment and material belonging to himself and/or the Grimaldi Forum and any others supplyers against theft and damage to his stand. A certificate of insurance certifying the insurance coverage may be requested by MONACO MEDIAX. MONACO MEDIAX cannot be held responsible for any damage (including disturbances of possession or commercial damages) which may occur to exhibitors material. Each exhibitor will be responsible for carrying out all customs formalities concerning the shipment of material. MONACO MEDIAX cannot be responsible for any difficulties which may occur concerning these formalities. All handling and transport costs shall be at the exhibitor's expense.

10. PHOTOGRAPHER : Camera will not be allowed in the Grimaldi Forum : (Exhibition Hall, Conference rooms…). The official photographer appointed by MONACO MEDIAX, shall be the only photographer entitled to take photographs inside the Convention center. Any other camera will be confiscate and restitute at the end of the event.

"11. VISIBILITY-COMMUNICATION-PRESS: The reservations of benefits in visibility, communication and press are subject to a specific timetable, to be confirmed with the Imagina Communication service (press@imagina.mc)
- Logos: to be provided upon signature of contract
- Advertising Page: Refer to deadline communicated by the Press and Communication service
- Emailing and or Special Announcement: The date chosen by the sponsor must be provided a maximum of 7 working days before the effective date of the mailing.
The other benefits are to be confirmed with the Press and Communication Service.

12. SECURITY : MONACO MEDIAX will provide supervision and security guards. However, MONACO MEDIAX can under no circumstances be held liable for any accidents, damages or thefts which may occur on the booth. During the full length of the exhibition, no material will be allowed to be brought or removed out of the exhibition hall without the prior consent of MONACO MEDIAX.

13. LIMITATION OF LIABILITY : If, for any reason beyond the control of MONACO MEDIAX, it was not possible to use the premises on the day and time specified or if the rental period had to be reduced or changed, or in the event of force majeure (natural disaster, serious riots, general strike, etc.) all amounts paid by the exhibitor will be refunded by MONACO MEDIAX, after deduction of the costs incurred by the exhibitor in preparing the show. MONACO MEDIAX reserves the right at any time to change the opening date or the duration of the event, and to extend or shorten the period, without liability to the participants. If the event is cancelled for any reason, this participation contract is void and the registration fees paid by the participants will be refunded to them in full. No other indemnification will be due by MONACO MEDIAX to the participants.

14. JURIDICTION : The above rules are not derogatory to Monaco's Grimaldi Forum internal regulations. The courts of Monaco shall have exclusive jurisdiction over any litigation or legal proceeding resulting from the application of these terms and conditions.
